We use the information we collect to schedule appointments, respond to and communicate with patients, improve our website, and maintain records required for healthcare and business purposes. We do not sell your personal information, and we do not share it for third-party marketing or targeted advertising.

03 Health information & HIPAA

Health information you share with our practice, through our practice-management platform (for example, Jane) or during care, is handled in accordance with the Health Insurance Portability and Accountability Act (HIPAA) and our Notice of Privacy Practices.

This website is a marketing and informational tool and is not intended for the transmission of medical records or detailed health information. Please do not submit sensitive medical details through general web forms or unencrypted email. If you need to share clinical information, we will direct you to a secure method.

04 Third-party services

We rely on trusted third-party providers to operate this site and our practice, including:

• Squarespace: website hosting
• Google Workspace (Apps Script, Sheets, and Gmail): receiving and storing what you send through our inquiry form, inside our HIPAA-covered Google Workspace
• Google Analytics: anonymous website usage and traffic insights (it never receives the details you type into our inquiry form)
• Jane App: appointment and practice management

When you submit our inquiry form, your name and contact details are sent to a private spreadsheet and email inbox inside our HIPAA-covered Google Workspace, so our team can call you back. This information is not posted publicly and is never used for advertising.

Each provider maintains its own privacy policy and security measures. We encourage you to review their policies for information about how they handle data.

05 Data retention & security

We keep the details you submit through our inquiry form for up to 12 months so we can follow up with you, after which they are deleted. If you become a patient, your information moves into our clinical records and is retained under HIPAA and our Notice of Privacy Practices. Access to website inquiries is limited to Christine and our front-desk administrator. Other personal data is retained only as long as necessary for clinical, legal, or operational purposes, or as required by applicable law. We use reasonable administrative, technical, and physical safeguards to help protect your information against unauthorized access, disclosure, or loss. No method of transmission or storage, however, is completely secure.

06 Your rights

You may request access to, correction of, or deletion of your personal information at any time by contacting us at info@thepelviclab.com. For requests involving your protected health information, you may also ask for our Notice of Privacy Practices, which describes your rights under HIPAA in more detail.

07 Children's privacy

This website is intended for adults. We do not knowingly collect personal information from children under 13 through this site. If you believe a child has provided us information through the website, please contact us so we can remove it.

08 Updates to this policy

We may update this policy from time to time. The most current version will always be posted on this page with a revised effective date. Your continued use of the website after an update constitutes acceptance of the revised policy.
